HR And Employment Contract Translation in UK For Multilingual Workforces

★★★★★ [score] / 5 · [count] reviews — read them

Most business paperwork describes a company. This describes a person. Spell their name one letter off the passport. Flip a birth date. Let a job title drift from the sponsorship record. None of that is a small error. It becomes their right to work. And your right to hire from abroad at all.

So names, dates and job titles come straight off the identity document. Not off the text around it. Then each one is checked back against that page. One at a time. Pay stays in the currency it was agreed in. Nothing about a person gets tidied up.

Our employment document translation services UK begin at £50 for a contract. Turnaround runs 2 to 3 working days. A named specialist signs the certificate an inspector or a tribunal expects. Queried wording is corrected for free. No invoice goes out until you have approved the file.

Every staff file we handle includes

  • Names matched letter for letter against the identity document
  • Job titles held to whatever your sponsorship record says
  • Dates written out in full so no format can be misread
  • Health and criminal record entries kept on a locked route
  • One template priced once, however many staff sign it

What a staff file holds

Which Staff Papers Our HR Translation Service Handles

A staff file is a stack of papers written for very different readers. Some are read by the employee. Some by an inspector. Some by a tribunal, years later. Below is what reaches us most often. Beside each sits the detail we check on its own. That happens before anything goes back.

Employment Contracts

The paper the person signs. Some countries bar you from hiring on terms the person cannot read. And a signature on a page nobody understood is worth little.

Verified alone: name, job title, start date and pay.

Offer Letters & Role Descriptions

Sent before anyone commits. The duties here must match the sponsorship record. Someone will compare the two. Sooner or later.

Verified alone: duties against the sponsorship record.

Staff Handbooks & Policies

Long, and often trimmed to save money. That saving is false. A policy nobody read is hard to enforce later.

Verified alone: disciplinary and grievance procedures.

Right-To-Work Documents

Passports, ID cards, residence permits, civil status papers. Short items. High stakes. One spelling choice decides if two files look like the same person.

Verified alone: spelling character for character as printed.

Payslips & Payroll Records

Asked for in runs, not one at a time. They prove someone was paid what was promised. Column after column of near-identical figures. Swapping two digits takes a second. Finding it takes an afternoon.

Verified alone: gross pay against the contracted rate.

Sponsor Licence Evidence

What the Home Office asks you to produce. Company papers. Contracts. Rotas. Policies. Proof of hiring. A refusal brings a wait before you can apply again.

Verified alone: consistency across every document in the bundle.

Disciplinary & Grievance Records

Meeting notes, warning letters, outcome decisions. These come back at a tribunal. There the exact wording becomes the whole case. What was alleged. What was decided.

Verified alone: allegations, findings and sanctions.

References & Service Letters

Proof of what someone did before. And for how long. Foreign job titles rarely match British ones. So the original title stays. A note sits beside it.

Verified alone: employment dates and original titles.

Secondment & Assignment Letters

For staff sent abroad for a fixed spell. Host authorities want to see the terms. In parts of Europe you file a statement first. Before the person lands on site.

Verified alone: assignment dates and host country terms.

A licence application is a bundle, not one paper. The Home Office reads it as one thing. Much of that bundle is company paperwork rather than staff paperwork, and those items answer to their own rules. What each of them has to prove is worked through under corporate company document translation.
What started the clock

Why Employers Order Employment Contract Translation In Britain

Staff paperwork gets translated for one of three reasons. Someone cannot start. Someone cannot stay. Or someone cannot be defended. Nobody orders it out of interest. Below are the situations that send this work to us most weeks. Spot the one nearest your own. The build, the certification and the date all follow from it.

Applying to sponsor overseas hires

Company papers, contracts and policies go in as one bundle. Every document must agree with every other one.

A compliance visit has been announced

An officer reads your files on a set date. A file in another language may as well not be there.

Hiring somebody who reads another language

A signature counts only if the signer understood the page. Several countries write that into law.

Posting staff to another country

Host authorities want the terms in their language. Often filed before the worker lands.

A tribunal claim has been lodged

Contracts, notes and letters go into a bundle. A judge reads nothing without a certificate.

Onboarding a group of overseas hires

Twenty people. One contract template. One handbook. And one start date they all share.

Not sure which papers a check needs? Or which ID formats count? These rules get revised every so often. Read the current position in the official employer guidance on right to work checks before you set your onboarding process.

Who usually raises it: HR Managers, Sponsor Licence Holders, Immigration Solicitors, Global Mobility Teams, Payroll Managers and Employment Lawyers. Each has a start date sitting in somebody else’s calendar.

Which level suits the reader

Certified Staff Document Translation Comes In Three Builds

Here the level is not set by a stamp. It is set by who relies on the page. Your own team just needs to follow it. An inspector or a judge needs proof attached. The employee needs to have read what they signed. Three readers. Three builds. Pick the one that matches yours.

For Your Own Team To Read

Plain accurate text, nothing attached. Built for managers. A foreign reference. An incoming staff file. A contract that arrived with a transfer.

Fits:

  • Foreign references during hiring
  • Personnel files arriving with a transfer
  • Internal review of overseas staff terms

Starts at £0.10 per word.

Ordered most often

For An Inspector Or A Judge

The same work, plus a dated accuracy certificate on top. The expert is named. Our registered details sit under the signature.

Fits:

  • Home Office bundles and compliance visits
  • Right-to-work files kept as evidence
  • Tribunal bundles and disclosure

Starts at £50 per document.

For The Employee To Sign

One signable page, two languages, side by side. Clause facing clause. The person reads their own column. Then signs one sheet. No one can later claim they did not understand it.

Fits:

  • Contracts for overseas hires
  • Policy acknowledgements and consents
  • Markets requiring the local language by law

Starts at £0.13 per word.

A senior hire often stops behaving like normal staff paperwork. Bring in share options, covenants or a settlement. Now the paper is negotiated, not issued. Our legal contract translation page covers that kind of drafting.
Which way are the people moving?

Workforce Document Translation For Inbound And Outbound Staff

Bringing someone into Britain and sending someone out are different problems. The Home Office watches one. It can cost you a licence. A foreign labour authority watches the other. That one can cost you a fine. Neither risk moves across to the other side. Pick the side that fits your case.

Bringing Overseas Staff Into Britain

You are sponsoring someone. Or checking their status. Or proving to an officer that you did it properly. British bodies read English. They also keep their own record of what you told them.

What this usually involves:

  • Identity papers rendered exactly as printed
  • Qualifications and references with titles left intact
  • Previous employment dates checked across papers
  • Certificates attached for the evidence file
  • Job titles held to the sponsorship record
  • Every name spelled one single way throughout

Send the passport page too. Every other spelling is measured against it.

Sending British Staff To Work Abroad

Someone is posted, seconded or hired abroad. That country's labour rules apply while they are there. Your contract does not override them.

What this usually involves:

  • Assignment terms in the host language
  • Local-language contracts where law demands them
  • Declarations lodged before the posting begins
  • Consultation papers for employee representatives
  • Pay stated in the currency it was agreed in
  • Handbooks issued in a language staff can read

We render what your papers say. Do the terms meet local employment law? Ask an adviser there.

From file to signature

How Employment Document Translation Runs Through This Office

Five stages. Identity details get pinned at stage two. That happens before any sentence is written. The order matters. A name settled at the start cannot become something else on page nine. Drift like that unravels a sound bundle. Everything after stage two rests on what was fixed there.

1

Send the paperwork and say who wants it

Attach the identity page if you have it. Tell us who opens the finished file. And when. That decides the build.

2

Identity details are pinned down

Names, dates, numbers and job titles come off the source paper. Then they are locked. Drafting starts after that.

3

An HR specialist writes it

Someone who handles employment files daily. Native in the target language. They work from the pinned details, not around them.

4

A reviewer checks it against the passport

Each personal detail goes back to the identity page. One at a time. Then across every other paper in the bundle.

5

Certified or bilingual, then delivered

Built into the form you ordered. Then sent for approval. Billing follows. It never comes first.

What To Put In The Envelope First Time

First-time applicants often send half a bundle. The rest turns up three days later. That stops the cross-check before it starts. Here is the set that lets work begin at once. Cannot find something? Say so. Do not leave a silent gap.

1. The identity page for each person

Passport or national ID card. It shows the printed name exactly. Every other spelling is measured against it. Without it, nothing can be checked.

2. The contract each person signs

The version being issued now. Not last year's template. If one template covers several staff, send it with the list of names and their details.

3. Whatever records the job title

The certificate of sponsorship. The offer letter. Whatever holds the role as registered. Without it, the title locks to nothing.

4. The handbook or policy set

Send the whole thing, even if only part is being translated. Knowing what sits outside scope matters. It stops cross-references pointing at sections nobody holds.

5. Any earlier translation you hold

Old work carries wording decisions already made, however rough it is. Match them on purpose. Better than producing something that contradicts your own file.

6. The name and date of the reader

One line saying who opens this. And when. It is the most useful sentence in the enquiry. It sets the build, the certification and the schedule.

All prices sit before VAT. They describe a floor, not a fee. A notary or legalisation office sets its own charge. That reaches you at cost, on its own line. Employers hiring all year can set fixed annual rates. Plus order numbers and one monthly bill.

What it costs

How Much Does Employment Contract Translation Cost In Britain?

Headcount drives this more than word count. Forty staff on one template is not the same job as forty separate contracts. Even when the totals look alike. Read everything below as a floor for its job type. It is not a quote. What pushes your own number higher sits under the table.

Floor prices and turnaround for personnel and employment documents. Figures are estimates, not quotes

Nine Things That Move Your Own Number

Some of the nine raise the figure. Others cut it sharply. Each is judged against the papers you send. Not guessed from a description. That is why an HR quote takes an hour. And why what you are told is what you pay.

How many people share one template

One contract issued to forty staff is prepared once. Then filled in for each. You are charged per person, not per paper. The gap between those two figures is large.

Whether the handbook comes too

Policies usually run far longer than the contract behind them. Say at the start whether the handbook is in scope. Or left for a later round.

Identity pages in the bundle

Short papers, heavy care. Each is checked letter by letter. Everything else in the file is measured against it.

Which build you need

Internal reading adds nothing. A certificate is a small step up. The two-column build costs more. Both sides must line up clause by clause on every page.

Whether redaction is required

Some health notes and disciplinary history should not travel. Those come out before drafting starts. A separate pass, done by a person, not a filter.

What your workforce actually speaks

Workforce languages common in Britain have a deep bench. So they price low. Rarer pairs cost more. HR work also needs an expert, not whoever is free.

How much we already hold

Once your template and handbook sit on file, later hires cost less. New editions are priced on what changed.

Whether a date is fixed by someone else

Ordinary scheduling runs at the base figure. A visit or a hearing means blocking an expert out at once. Other jobs get pushed back.

How the payroll run is structured

Twelve near-identical payslips move faster than twelve unrelated papers. So runs price per slip, not by word count.

Send the paperwork. Name whoever is waiting. Back comes one written figure with a finish date beside it. Both stand. If anything would shift the cost, you hear it early. While it is still your call.

All prices sit before VAT. They describe a floor, not a fee. A notary or legalisation office sets its own charge. That reaches you at cost, on its own line. Employers hiring all year can set fixed annual rates. Plus order numbers and one monthly bill.

What your workforce speaks

HR Translation Covering More Than 120 Working Languages

Any pair, moving whichever way you need. Below are the languages staff paperwork crosses between most often here. Beside each sits the employment habit that trips up an HR team handling that workforce for the first time. None of them is about vocabulary. They are about names, formats and local expectations.

Workforce languages covered, with the local employment convention for each
Language The employment convention that surprises teams
PolishOne of the most common workforces in Britain, and staff frequently ask for terms in Polish before signing
RomanianNames carry diacritics that must survive into payroll systems exactly as printed on the identity document
ArabicSeveral defensible transliterations exist for one name, so the passport spelling governs every other paper
FrenchLocal-language contracts are expected for staff working in France, and works councils consult in French
GermanWorks council involvement is formal, and talks papers follow their own structure
SpanishContract types are statutory categories, so a British job title rarely maps onto one cleanly
UkrainianNames often appear in two scripts across a file, and only one version can be treated as authoritative
HindiName order and patronymics differ from the British convention, so field mapping is agreed before drafting
PortugueseCompound surnames are long and often truncated by systems, which breaks a later identity match
TagalogCommon for healthcare hiring, where qualification papers accompany every single contract

Also handled regularly: Bulgarian, Nepali, Italian, Urdu, Lithuanian, Punjabi, Latvian, Bengali, Hungarian, Somali, Slovak, Albanian, Turkish, Tamil, Czech, Russian.

Where staff files fail

Six Errors That Make Staff Papers Contradict Each Other

None of these reads as an error at first glance. Each one is fluent and tidy. Each makes sense on its own. Yet each disagrees with another paper in the bundle. That is exactly what a compliance check hunts for. All six turn up in files sent to us once something has gone wrong.

A name stopped matching the passport

A name in another script can be spelled several fair ways. Pick one that differs from the passport. Now the contract looks like a different person. That is how a bundle unravels.

A date meant something else

In figures, the third of April and the fourth of March look alike. Shift a birth date by a month. The ID check fails. Nobody can say why on the spot.

The job title improved slightly

A tidier title reads better. It also matches nothing. The role as recorded at sponsorship is the one that counts. Even if it sounds clumsy.

Pay was converted or rounded

Putting a salary into the reader's currency brings in a rate. And a date. Nobody agreed to either. Figures stay exactly as contracted. Any conversion sits beside them, and only where you asked for one.

Only part of the handbook was done

Skipping the sections that felt less important saves a little money. It also creates a policy nobody received. Enforcing it later gets much harder.

Sensitive detail travelled too far

Staff files carry health notes. Union membership. Sometimes criminal records. Treat that like ordinary business text and it reaches more inboxes than it should.

Had a bundle done elsewhere? Feeling uneasy about it? Send it with the source papers. Every personal detail gets traced and cross-checked. You get a written schedule of each point where two papers disagree.
France goes further than most. A written employment contract there has to be drawn up in French, and an English-only clause cannot be relied on by the employer at all. That rule is explained under French business translation.
Why HR teams stay

Why HR Teams Keep Us On Their Supplier List

Most suppliers treat a contract as a document with a few names in it. It is really an identity record that happens to hold contract terms. That distinction changes three things: what gets checked, who is allowed to see the file, and how the work is priced. Here is what follows from it.

The passport governs every spelling

A name can often be written several ways. The identity document decides. Not the sound of it. Not what reads better. Every other paper falls into line.

Job titles are locked, not polished

The role as recorded at sponsorship is protected content. No one may improve it halfway through a handbook. However clumsy it sounds.

Special category data is walled off

Health notes, union membership and disciplinary history move on a locked route. Named people only. No shared storage. We confirm deletion in writing once you sign off.

Bilingual builds are made to be read

Two columns matched clause against clause. The employee follows their own side. Then signs the shared page. Understanding is the point of the build, not a bonus.

Headcount pricing, not page pricing

One template across a group is prepared once. Then filled in for each person. Charging for forty full papers when it is one contract would be wrong.

We say where our job stops

Translating is what we do. Advising on immigration or employment law is not. If something reads like a compliance issue, we point it out. Then leave it alone. Guessing would add risk to your file, not remove it.

Who Actually Works On Your Personnel Documents

An officer or a tribunal may lean on a certificate. That certificate should trace back to a real person. Knowing who, before you instruct, is fair. The people below cover most staff work here. Ask for one by name. Your file goes to them, diary allowing.

What people ask first

Questions HR Teams Ask Before Sending Staff Files

All of these came out of real calls. Usually with a start date in the diary. And a passport scan already open. Not one is a broad question about translation. Each attaches to a real person with a real date. Something else on your mind? Put the files on WhatsApp inside office hours. A reply follows shortly.

Our new hire's name is in another script. Which spelling do you use?

+

Whatever is printed in the machine-readable zone of their passport. Every time. Several spellings may be equally fair, but only one sits on the identity document. That is the version every other paper must match. Send the passport page with the contract and the question answers itself.

What format does a Home Office bundle need?

+

Certified English beside each original, never in place of it. A dated certificate names the specialist and carries our registered details. Format aside, one thing matters most. Every paper in the bundle must tell the same story about the same person.

Can you produce both languages on one signable page?

+

Yes. For overseas hires it is the build we suggest. Two columns, clause beside clause. Right down to the signature block. Each side follows its own column. Then initials one shared sheet. Your file holds proof they could understand it.

We are hiring forty people on one contract. Do we pay forty times?

+

No. A quote built that way deserves a second look. The template is prepared once. Each copy then takes that person's details. Each gets checked against their own identity page. Your bill covers one preparation plus a rate per head. That lands somewhere very different.

Do you translate passport and visa pages as well?

+

Yes, and they are priced per document because they are short. Endorsements, stamps and handwriting are recorded where they sit. An officer holding the original will spot anything missing from a page they can see.

Our handbook runs to eighty pages. Does all of it need doing?

+

That is your call. Though partial coverage costs you later. A policy nobody could read is hard to rely on in a disciplinary case. Tight budget? Start with disciplinary, grievance and absence. Add the rest in a second round.

We have a tribunal bundle deadline. Can you certify in time?

+

Generally yes, if the hearing date reaches us first. Bundle deadlines do not move, so work runs backwards from that day. A certified exhibit has to be the whole document. Send all of it, not just the passages you plan to cite.

The job title translates awkwardly. Do you tidy it up?

+

Never. The title as recorded at sponsorship goes across unchanged. It is protected content. Where the target language has no match, a bracketed note explains it. A smoother title that matches nothing in your records is a risk, not an upgrade.

Can you redact sections before translating them?

+

Yes. A person reads the file to do it. Not a search filter. Tell us what should not travel. Salary detail. Medical notes. Another employee named in passing. It comes out at source, before drafting starts.

Do you convert the salary into the employee's own currency?

+

Only on your instruction. Using a rate means picking a rate and a day. That is not our call to make. Amounts stay in the currency they were agreed in. Want a guide figure? It sits in brackets beside the contract sum, and does not stand in for it.

Language work is all we supply. There is no solicitor, immigration adviser or employment law specialist on this team. We hold no relationship with any body named above. Does a document meet a sponsorship duty? An employment law rule? A right to work duty? Those calls are for you and your own advisers.

Translation is what we provide, and only that. No employment solicitor or immigration adviser works here, so treat nothing on this page as guidance about contracts, your licence or a worker's status. Put those questions to a regulated adviser before acting on anything we return.
